Document Analysis Workshop
Workshop Aims:
- The workshop is focused on analysing the 33% of the activities of the internal resources involved in with the generation and quality assurance of documents.
- Providing quick results and recommendations for a solution
Objectives & Value:
- Establish transparency of the in house processes involved in document generation
- Provides an essential precursor to the introduction of ESCRIBA technology
- Provides a “stake in the ground” and documentation inventory, allowing an ROI calculation to be made for an ESCRIBA implementation.
- Analysis of the 33% of the activities in the documentation environment, may impact the remaining 66%, providing further optimisation opportunities
Workshop schedule:
The workshop will take 5 days and should be completed over a period of 2-3 weeks.
Day 1:
- Kick off meeting to set the scene and communicate objectives
- Focusing the participants on documents and document processes
- Agreeing action and setting tasks for participants
Day 2:
- Classification of documents according to characteristics:
- Features: frequency or appearance of the documents
- Effort required to produce
- Complexity low, medium, high
- Risk (business critical) caused by poor quality and errors in documents
- Categorisation of document type (contracts, documents, letters, forms)
Day 3:
- Analysis of the document generation, maintenance and filing processes:
- what is done by whom and when, before and after the production of documents
- What dependencies arise in the processes
Day 4 & 5:
- ELETRA to analyse and document findings
Result:
- An analysis and inventory of documents
- Recommendations of potential solutions
- Next steps and implementation road map
